Resetting a student password

The Password Hub resets a student's Google account. That's the account they use for Chromebooks, school computers, Classroom, and their @prstudent.ca email. You can reset any student at your own school without a ticket.

This is not for your own password. Staff accounts are Microsoft. Reset yours at passwordreset.microsoftonline.com.


1. Sign in

Go to passwordreset.microsoftonline.com and choose I'm a staff member. Sign in with your Prairie Rose Google account.

You'll see the students at your school only. That list comes from your Google Group membership, so there's nothing to set up. If you see no students at all, see Troubleshooting below.

2. Find the student

Search by surname, first name, or school email. Two words narrow it down, like sample avery.

Only students on the current PowerSchool roll show up here. The roll refreshes overnight, so a brand new student might not appear until tomorrow.

3. Reset

Open the student and use the Reset this password panel. Confirm when it asks. The student's current password stops working right away.

What the button does depends on the student's grade. You don't pick, the tool does.

Grade What happens What to tell the student
K-9 Their password goes back to the default, the same one PowerSchool shows This is their regular password. It doesn't expire and it won't ask them to change it.
10-12 A new temporary password is created and shown once They'll have to pick their own password the next time they sign in.

For grades 10-12 you can also tick Also email it to... and send it to the personal email address the school has on file. It never goes to their school address, since that's the account being reset.

4. Give it to the student

The password shows up blurred. Click Click to reveal to read it out, or use Copy to paste it somewhere without putting it on a screen the whole hallway can see.

Reloading the page loses it. For grades 10-12 that's it, you'd have to reset again. For K-9 it's also sitting in PowerSchool.

5. If the Chromebook still won't take it

A new password is only half of it on a Chromebook. The most common ones we see:

  • The login screen keyboard is set to something other than English (US), so the password they're typing isn't the password going in.
  • "Could not mount cryptohome", which usually turns up right after a password change.
  • It asks for their old Chromebook password to unlock local data. There's a "Forget your old password?" option on that screen.

Steps for all three are in Chromebook Logon Issues. Worth a look before you assume the reset didn't work.


Students in grades 10-12 can do this themselves

Senior students can reset their own password at passwordhub.myprps.com/reset without signing in. Two ways:

  • Send it to my personal email. They enter their school email plus the personal email the school has on file. The new password gets emailed there.
  • I have my Alberta Student Number. They enter their school email, ASN, and date of birth. The new password appears on screen.

Either way it's temporary, and Google asks them to pick their own when they sign in.

Limits: two self-service resets per day, and three wrong attempts locks that student out of the form for an hour. Neither limit applies to you. The office can still reset them from the Hub.

Grades 9 and under can't use this. A younger student's reset puts back their regular PowerSchool password, and we're not going to hand out a password that doesn't expire from a public form. Younger students come to you.

The daily email to the school office

Offices with a contact address on file get one email each morning listing the students at that school who reset their own password in the last 24 hours.

Nothing in it needs doing. It's there so somebody who knows the students sees it. If a line looks wrong, or a student tells you it wasn't them, reset that student from the Hub and let IT know.


Troubleshooting

What you see What it means What to do
"No students match that search" They're not on the current PowerSchool roll, or they're at another school Try just the surname, or part of their school email. Then open a helpdesk ticket.
No students at all, on any search Your account isn't in your school's staff Google Group yet Open a helpdesk ticket to get added.
"No reset available" on a student The tool couldn't read their grade, so it doesn't know whether to restore or generate Open a ticket so the record can be fixed. Don't guess at it.
"Not on the roll" The student is marked inactive in PowerSchool If they're back at school they'll come back on the next overnight sync.
"Not recorded" after a reset worked The password changed but the audit entry didn't save Tell IT. A reset that isn't in the log is a problem.
A student says the reset page won't accept them Could be a wrong ASN, a wrong birthdate, a wrong personal email, the daily limit, or the hour lockout. The page says the same thing for all of them Don't try to work out which one it was from the wording. Just reset them from the Hub.
A student says there's no "Verify you are human" box, or it won't submit This is the most common one. They filled in the fields and hit the button without ticking the box Tell them to tick the box and try again. If there's genuinely no box, reload the page. Otherwise just reset it for them.
The reset worked but the Chromebook still won't log them in Usually the keyboard layout, a cryptohome error, or it's asking for the old password to unlock local data See Chromebook Logon Issues. Don't reset a second time, it won't help.

Good to know

  • Every reset is recorded against your account: who did it, which student, and when. Not the password itself. The Hub never stores or logs a password.
  • You can only reset students at your own school. That follows your Google Group, so it isn't something we can widen for one person.
  • A helpdesk ticket about a password reset can link straight to the student. If IT sends you one of those links, it opens that student's reset panel once you've signed in.
  • It works on a phone, which is handy at a counter or on supervision.
